Internal job exchange is available to professional & technical staff of the University. It can benefit both the staff member and the University by allowing a member of professional & technical staff to a make a temporary exchange of their position with another member of professional & technical staff within the University.
 
Internal job exchange can allow general staff to increase their knowledge of the University, enhance their skills and provide staff development. The exchange can also improve inter-relationships between administrative areas.
 
1.0 Eligibility
 
Continuing professional & technical staff, both full time and part-time, are eligible to apply for job exchange.
 
2.0 Duration Period for a Job Exchange
 
A job exchange may be filled for a period of up to 12 months in the first instance. At the end of the exchange period a decision should be made to either extend the exchange, end the exchange or confirm both staff members in their exchanged positions.
 
3.0 Application
 
A job exchange will be initiated by the job holders. To commence the process the staff member should:
a) discuss the matter with their supervisor
b) provide a resume of the exchange candidate to their supervisor
The supervisor will interview the exchange candidate to ensure that the candidate is suitable to fill the position.
 
Job exchange should only be carried out between staff members at the same level.
 
4.0 Approvals
 
Participation must be recommended by the supervisors of both positions and approved by the respective Dean/Manager(s) of both work units. The operational requirements of both work units need to be taken into consideration when considering the application for job exchange.
 
Once approved, all paperwork must be sent to Human Resources.
 
5.0 Entry on Duty
 
The entry on duty date will usually be 21 days after the date of approval.
 
6.0 Right of Return
 
A staff member on a job exchange has the right of return to his/her substantive position.
 
7.0 Confirmation of Job Exchange
 
A decision to confirm both staff members in the exchanged positions requires the agreement of both supervisors and both staff members, and the approval of the respective Dean/Manager of both work units.
 
Once approved, all paperwork must be sent to Human Resources.
 
8.0 Termination of a Job Exchange
 
A job exchange may be terminated by either the participant or the supervisor, with one months written notice.
 
If a job exchange is terminated by either party, the other staff member participating in the exchange must return to his/her substantive position in line with the notice of termination. (Alternatively the person ceased goes on leave/LWOP for the agreed period.)
 
9.0 Use of Recreation Leave While on a Job Exchange
 
Recreation leave accrued during the period of the job exchange should be taken while on exchange.
 
If no recreation leave is taken during this period, the funds for the accrued leave will be transferred to the staff member's work unit at the time of the return to his/her substantive position.
 
10. Use of Accrued Flex Time
 
Any outstanding flex time hours should be taken prior to taking up the job exchange. If not taken the outstanding flex time will be forfeited.
 
Any flex time accrued while on the job exchange cannot be carried back to the substantive position.
