Study Time & Examination Leave
The University's study time and examination leave policy provides assistance to staff who are undertaking studies which the University considers appropriate to their current positions and to develop their potential to meet future needs of the University.
Eligibility
Staff eligible to apply for study time are;
Part time staff will be granted study time on a pro rata basis.
Recognised courses of study
Study time may be granted for study;
Study time may be approved for the continuing education of staff who hold a first qualification, for courses at undergraduate or postgraduate level including non-degree courses, where the courses are directly relevant to their current employment and the needs of the University.
Amount of study time available
The maximum number of hours available is four hours per week, to be used for class attendance, travel, lesson or assignment preparation. Study time is accrued on the basis of half an hour for each hour of compulsory attendance per week. This time off is available;
Study time is not available after the last day of classes.
Study time that falls on a public holiday is foregone.
If an emergency situation arises study time may have to be cancelled in order to meet the requirements of the work unit.
Study time is only available for a repeat subject if no prior study time has been approved for that subject.
Distance education courses
Staff who undertake recognised courses by distance education may apply for 16 days leave per annum to attend compulsory residential schools, in lieu of study time. For attendance in excess of 16 days, staff must apply for recreation leave or leave without pay.
Accumulation of study time
Full time staff who are eligible to receive less than two hours study time may, with approval of their supervisor/head of school/unit, accumulate the time in order to make better use of it for study purposes.
No more than four hours may be taken at any one time.
Variation of working hours
Staff may, with the approval of their supervisor/head of school/unit, vary their working arrangements to allow for study time to be taken in normal working hours in addition to time granted as study time. The additional time taken in this way will be made up at times agreed with the supervisor/head of school/unit. Making up time is not permitted during a lunch break.
Work related courses
Where a supervisor or head of school directs a staff member to attend short work related courses the time taken is considered to be on duty.
Applications for study time
Applications may be made on the Application for Study Time, form HR06. Applications must be discussed with the supervisor/head of school/work unit, who will complete the appropriate section of the form.
Completed forms, a copy of the timetable and proof of payment for the course should be sent to the Human Resources Department.

EXAMINATION LEAVE
Examination leave is granted for final examinations. This leave is for travel time, prior study and is available to members of staff undertaking recognised courses of study. Leave of one day for each final exam is allowed and will be granted irrespective of whether or not a staff member has applied for study time to attend the course.
Applications for examination leave
Applications for examination leave must be made on a leave form in advance of the leave being taken, and forwarded to the Human Resources Department.
